Google's infrastructure is extremely secure. Your configuration of it might not be. The uncomfortable truth for most small businesses is that a breach doesn't come from Google being hacked — it comes from a reused password, an over-shared file, or an ex-employee whose access was never removed. - ▸Admin accounts are separate. Your super-admin login shouldn't be your everyday email. Compromise the daily inbox and you don't want it holding the keys to everything.
- ▸Offboarding is instant. When someone leaves, access is revoked the same day — mail, files, and any app connected via their account.
- ▸Sharing is reviewed. Hunt down files shared "anyone with the link" or to personal Gmail addresses. Sensitive data leaks quietly this way.
- ▸Third-party app access is audited. Every app someone connected to their Workspace account is a door. Close the ones nobody uses.
- ▸Data-loss rules for the sensitive stuff. Rules that stop card numbers, IDs and contracts from being emailed out by accident.
- ▸Recovery info is current. Admin recovery email and phone actually reachable — so a lockout doesn't become a disaster.
Why small businesses skip this
Security feels like a "big company" problem, and the admin console is intimidating. So it gets left on defaults — which are convenient, not safe. Attackers know small businesses are the soft target precisely because of this.
You don't need enterprise software to be secure. You need the settings you already have, configured properly, and reviewed twice a year.
The cost of ignoring it
One compromised account can send invoices with the wrong bank details, leak client data, or lock you out of your own domain. The cleanup costs far more than the prevention — in money, time, and trust.
